Step 2

Click into any text box. Press your hotkey.

Open a program — Word, Outlook, your browser, Notepad. Click the cursor into the field you want to type in. Press the talk button you picked during setup. The default is the Right Ctrl key, and you can change it to any key or mouse button that's comfortable. This works in most Windows programs; if one blocks direct insertion, your words are kept on the clipboard and in a recovery panel so nothing is lost, and elevated admin windows can need that fallback.

  • Works with mouse buttons too — useful if a keyboard is hard for you.
  • The same hotkey toggles dictation off when you're done.

Step 3

Talk. Watch the text appear.

Speak the way you would talk to a friend — natural pace, full sentences, normal volume. As you talk, words appear in the text field you clicked into. When you're done, press the hotkey again. That's it. That's the whole loop.

  • Punctuation: just say “comma”, “period”, “new paragraph.”
  • Mistakes? Erase with the keyboard like normal, or dictate again over the selection.
  • All processing happens on your computer — nothing sent to a cloud.

The first three minutes

The setup wizard asks exactly three things. Every one of them has a sensible default, so you can press Next, Next, Next and start dictating in under a minute. Or pick what works for you.

    “What hotkey would you like to press to start dictation?”

    Default: the Right Ctrl key. Or pick any key or mouse button you find comfortable — a mouse side button is popular if pressing keys is hard.

    “Should it use the same key to stop, or a different one?”

    Default: same key toggles on and off. (Easier to remember.) Two-key setup is there for people who want it.

  3. 03

    “Want a sound to play when dictation starts and stops?”

    Default: yes, a soft chime. Audio confirmation matters when your eyes are on the document, not on a tiny indicator in the corner.

Honest about what it doesn't do

A short list of things we won't pretend we do.

Trust comes from naming the limits, not hiding them. Here is what CaringDictate is not.

  • It does not replace a screen reader.

    CaringDictate turns your voice into text. It does not read text back to you. If you also need text-to-speech, NVDA (free) and Windows Narrator (built-in) both work well alongside CaringDictate.

  • It does not do voice commands for system control.

  • It will not write what you have not said.

    CaringDictate does not auto-complete or auto-correct your meaning. It transcribes what you spoke. That is on purpose — fewer surprises.

  • It does not understand every accent perfectly.
