Dictation needs your voice and one trigger, and the trigger can be a switch, a mouth stick, a sip-and-puff input, a head tracker or a spoken phrase. This is a plain guide to how it fits alongside the access technology you already have.
Dictation and voice control are two different tools.
This is the most useful thing to understand before spending money, and it is the distinction most product pages blur.
Dictation turns speech into text. You put the cursor in a text field, start the software, talk, and the words appear. That is all it does. Voice control drives the computer: opening programs, clicking, scrolling, switching windows, running commands. Some products do one, some do the other, and a few do both — usually one of them better than the other.
If you can operate a computer with your existing setup but writing is slow, you want dictation. If getting around the screen is the problem, you want voice control, and a dictation tool will not solve it. Many people with limited hand function end up running both, because the two jobs are genuinely separate — and knowing which one you are shopping for saves buying the wrong thing.
What is free, and what each one is for
Windows 11 ships with both kinds. Voice typing — Windows key + H in any text box — is dictation. Voice Access is the fuller voice-control system: opening and switching applications, clicking, scrolling and dictating, with its own vocabulary and text correction. Both are free and already installed, and for a great many people Voice Access alone is the answer.
Beyond the built-in tools, Talon Voice is the best-known option for serious hands-free computer control, particularly for programming, and it is a different category of product from anything we make. If control rather than writing is your bottleneck, that is where to look. On a Mac, Apple's Voice Control covers similar ground.
Mapping the trigger to your input
Dictation software almost always starts on a keyboard shortcut, and most adaptive inputs can be made to send one. That single fact is what makes dictation workable from setups it was never specifically designed for.
- Switch interfaces that present as a keyboard or mouse will trigger anything that accepts a keyboard or mouse shortcut.
- Sip-and-puff and head trackers generally produce clicks or keystrokes, which is all that is needed.
- AutoHotkey is free software that remaps almost any input to almost any key — the usual bridge when a device cannot send the key a program expects.
- A spoken wake phrase removes the trigger question entirely, where a tool offers one.
- Watch for collisions. If you run dictation and voice control together, give them clearly separate triggers so one does not fire the other.
- Check it is configurable before you buy. Software with a fixed shortcut is only as accessible as that shortcut happens to be.
Microphone placement matters more than usual
A chair-mounted laptop often sits a foot or more from your mouth, which is a long way for a built-in microphone — it will hear the room as much as it hears you. A headset, a boom microphone or a clip-on mounted near your mouth makes a substantial difference to every dictation tool, free ones included. If dictation has disappointed you before, this is the first thing worth changing.
What to check before you pay for anything
- Is it dictation or voice control? Buying the wrong category is the most expensive mistake available here.
- Can the trigger be mapped to your input? The question that decides whether it is usable at all.
- Does it type into the programs you actually use? Some tools write into their own window and you copy the text out; others insert directly into whatever had the cursor.
- Does it coexist with your other access software? Test it against your full setup during a trial, not on its own.
- Where does your voice go? Some tools process speech on a server, some on your own machine.

I have limited hand function. Will this work for me?
The part that depends on your hands is only the trigger — starting and stopping dictation — and that can be mapped to a key you can reach with a mouth stick, a switch on your wheelchair tray, a sip-and-puff input presented as a keystroke, a head-tracker click, or a spoken wake phrase that needs no input device at all. I already use Dragon. Is there a reason to switch?
Probably not, if it is working for you. Dragon Professional v16 is the fuller product — custom voice commands, trainable vocabulary, transcription of recorded audio — and if you use any of that, it is the one to keep. Nuance does not publish a price on their product page, so ask them or a reseller about current pricing. Can I run it alongside Talon or other voice-control software?
Yes, and for most people that is the right combination — see the section above on why they are different tools. CaringDictate handles dictation, meaning speech turned into text. Talon and similar handle voice control: clicking, navigating, running commands. They use separate triggers and do not compete for the same job. Plenty of people with no hand function run both.
Will it work with an environmental control system on my chair?
If your ECS can send a keystroke or a mouse click to the laptop — which most can, when they connect over Bluetooth or USB and present themselves as a keyboard — then it can trigger dictation, because the trigger is fully configurable. It is worth testing this during a trial rather than assuming, since ECS setups vary a great deal.
Is this funded under Medicaid, VA benefits or vocational rehab?
We are not able to advise on funding, and guessing would not be fair to you.
