Dictation does not make typing easier — it replaces it. This is a plain guide to voice typing on Windows for anyone dealing with repetitive strain: the free tools already installed, how to raise it as a workplace accommodation, and what to check before paying for anything.
Typing is the volume problem. Dictation changes the volume.
Most knowledge work is typing. Email, documents, tickets, chat, forms — a working day can run to thousands of keystrokes before any of the actual thinking shows up on a screen. If repetitive strain is the reason you are reading this, the useful question is not how to type more comfortably but whether some of that writing can happen without the keyboard at all.
That is all dictation does. You start the software, speak, and stop it, and the text appears in whatever program you were already using. It is not a treatment and it is not advice about your hands — those are questions for a clinician. It is simply a different way to get words onto a screen.
Start with the free tools already installed
Before buying anything, use what is already on the machine. Windows 11 includes voice typing — Windows key + H in any text box — and Voice Access, a fuller system for controlling the whole computer by voice, with dictation, its own vocabulary and text correction. Both are free. On a Mac, Apple Dictation is built in and Apple's Voice Control adds custom vocabulary and commands. Google Docs has voice typing in Chrome at no cost.
This matters more at work than anywhere else, because the free tools are already approved software on a corporate machine. If Windows voice typing covers your writing, you have solved the problem today, with no purchase request and no IT ticket.
Raising it at work
If you want dictation as a workplace accommodation, the process is more ordinary than most people expect, and the authorities on it are your employer, your clinician and the Job Accommodation Network — not a software vendor. A few things that are generally useful to know:
- JAN is free and independent. The Job Accommodation Network (askjan.org), a service of the US Department of Labor, publishes accommodation guidance by condition and takes questions from employees and employers alike. It lists speech recognition software among the options for repetitive strain conditions.
- Accommodation is a conversation, not a form. Under the ADA it is worked out case by case between you and your employer. Nobody — including us — can tell you in advance what yours will agree to.
- Ask for the category, not the brand. Requests framed around what you need to do ("dictation software so I can write documents without sustained typing") tend to travel better through HR than a request for one specific product.
- Expect a software review. Anything installed on a corporate machine usually goes through IT. Where a tool processes your audio — on the machine or on a server — is normally the first thing they ask, so it is worth knowing the answer for whichever tool you propose.
- Your clinician's input carries more weight than ours. If there is documentation involved, it comes from them.
What to check before you pay for anything
- Does it type into the programs you actually use? Corporate tooling is the real test — internal web apps and remote-desktop sessions behave differently from Word. Test yours during a trial rather than assuming.
- Where does your voice go? Some tools process speech on a server, some on your own machine. On a work laptop this is often the deciding question rather than a preference.
- Can you change the start control? You will press it constantly. If your hands are the problem, being able to move it to a mouse button or a foot pedal matters.
- Can you try it before paying? How a tool handles your voice, your headset and your actual documents is the one thing no review answers.
- Who owns the licence if your employer pays? Worth settling before purchase, not after you change jobs.

- Long-form writing and documentation. Word, Google Docs, Notion, Confluence, Jira — most rich-text editors accept dictated text the same way a document does.
- Commit messages, ticket descriptions, code review notes. The prose half of a software job, which is often more of the typing than the code itself.
- Personal email and messaging after hours. The second shift of typing that happens after the working day has already used up your hands.
- Online forms — banking, healthcare, admin. Small fields and repetitive entry. Most web form fields accept dictated text.

Will it work with our company VPN and security software?
It is a standard Windows desktop application and it does not need network access to run, only to install and to check for updates — so it generally behaves the same behind a VPN as outside one. Whether you are permitted to install it is a separate question and one only your IT team can answer. I am a software engineer with RSI. Does dictation work for code?
For prose — comments, commit messages, tickets, documentation, review notes — it works the way it does anywhere else. For code syntax it is a poor fit: punctuation-dense text with unusual identifiers is the hardest thing to dictate. Engineers who dictate seriously tend to pair a dictation tool for prose with something built for code navigation and syntax, such as Talon Voice. How does it compare to Dragon for workplace use?
Dragon Professional v16 is the more capable product by some distance — custom voice commands and macros, a vocabulary you can train on your own terminology, and transcription of recorded audio files. It is also the product most employers and accommodation programmes already know how to buy, which matters if someone else is paying. Nuance does not publish a price on its own product page, so check with them or an authorised reseller. Will it help my symptoms, or just reduce my typing?
It reduces your typing. That is the whole of what the software does, and anything beyond that is a question for your doctor or occupational therapist rather than for us — we are a software company and we are not in a position to tell you what will change how you feel. What we can say is that dictation is one way to do the same work with fewer keystrokes, and that trying it costs nothing for seven days.
What about ergonomic keyboards — should I try those first?
Try whatever is easiest to try. Split and ortholinear keyboards, vertical mice and different desk setups all suit different people, and none of them rule out dictation — plenty of people end up combining an ergonomic setup for short bursts with dictation for anything long.
